Your inventory spreadsheet, as an app.
Upload the sheet you use today and match its columns once. From then on stock changes are recorded instead of typed over, low stock is flagged before you run out, purchase orders take a click, and stock that goes out on a job is charged to that job.
The same five failures, in every business.
A spreadsheet is the right first inventory system. These are the five ways it breaks, and what replaces each one.
| In the spreadsheet | In the app |
|---|---|
| Quantities get typed over, so nobody can say where 40 units went | Every change is a recorded movement: received, issued, sold, adjusted or counted, with who, when and why |
| Two people edit the file and one of them saves last | Everyone works in the same live app; staff can issue and count without seeing costs or settings |
| You find out you're out of stock when a customer asks | Each item has a reorder point per location, and anything at or below it lands on a "needs ordering" list |
| Counts happen on paper and get retyped | Count on a phone, by location or shelf; the app shows what's off before anything changes |
| Nothing connects a part to the job it went into | Issue stock to a job or customer, take returns back, and see what each job used and what it cost |
Stock you can trace, and buying that runs itself.
This is the first version, in full. Anything not listed here is under “What isn’t in it yet” below.
- Items — SKU, barcode, category, unit, cost, sale price, preferred supplier
- Locations and shelves — shop, warehouse, van or site, each with its own stock and bin
- Stock history — a running ledger per item; nothing is ever overwritten
- Issue to job — stock out against a job or customer, returns back in, cost per job
- Transfers — between locations, in transit until the other end receives
- Reports — stock value by location, issued by job, low stock, items not moving
- Low stock — reorder points per location and an optional daily email of what's short
- Purchase orders — drafted from low stock, in each supplier's pack sizes and prices
- Receiving — partial deliveries, short or damaged lines noted, costs updated on arrival
- Stock counts — full or partial, counted on a phone, variances reviewed before they post
- Barcodes — scan with a USB or Bluetooth scanner or a phone camera; print labels as a PDF
- Import and export — bring your sheet in as CSV; take everything out as CSV any time
Built for stock that goes out on jobs.
Businesses whose stock leaves on jobs, orders or over a counter: parts rooms and repair shops, contractors and trades, small wholesalers and online sellers who invoice elsewhere.
Point-of-sale systems already track stock for shops that sell everything through a till. Businesses that hand parts to a technician, send materials to a site or pick orders by hand are the ones left with a spreadsheet. That's who this is for.
Running a parts room or a building supply? See how far a spreadsheet goes first; for many small stockrooms it's enough for a while longer.
What changes on day one.
| Spreadsheet | This app | |
|---|---|---|
| A quantity changes | Someone types over the old number | A movement is recorded with who, when and why |
| Running low | You notice, or you don't | It appears on the needs-ordering list |
| Ordering | Email or phone from memory | A purchase order in the supplier's pack sizes, received line by line |
| Stock count | Clipboard, then retyping | Counted on a phone, variances reviewed before posting |
| Two people at once | Last save wins | Both work live; roles limit who sees costs |
| What a job used | Not recorded | Issued against the job, with its cost |

Before you ask.
- Can I bring my spreadsheet?
- Yes. Save it as a CSV file (every spreadsheet app can), upload it, and match its columns to ours once; a preview shows the first rows before anything is imported. Uploading Excel files directly isn't in the first version.
- Where does my data live?
- On our servers, in a database of its own: your business never shares a database with another customer. It is backed up every day and the backups are kept for 30 days. You can export items, stock and history as CSV whenever you like.
- Does it work on a phone?
- Yes, in the phone's browser; there is no app to install. Counting, receiving and issuing are laid out for a phone, and the camera can scan barcodes.
- Does it connect to my till, Shopify or QuickBooks?
- Not yet. Sales can be entered or imported from a CSV, which suits businesses whose stock leaves on jobs or orders. If you sell mostly through a till, your POS's own stock module may suit you better for now.
- What isn't in it yet?
- Till, Shopify and QuickBooks sync; size and colour variants; serial numbers; lot and expiry dates; bills of materials; more than one currency; offline use.
- What happens after the trial?
- The first 30 days are free. After that it's one monthly price for the whole business, and you can stop at any time and take your data with you.
